Proposals & Other Submissions
Per the HMS Sponsored Submission Deadline Policy and to allow for review, corrections, and successful submission to the sponsor, proposals and other submissions with sponsor due dates between Tuesday, December 23, 2025 and Friday January 2, 2026 must be complete, locked, routed, and signed in GMAS no later than 5:00 PM on Monday, December 15, 2025.
Also note that proposals due after the winter recess between Monday, January 5 and Friday, January 9, 2026 must also be locked, routed, and signed in GMAS at least five full non-holiday business days prior to the sponsor due date (e.g., proposals due to the sponsor on 1/5/2026 must be routed to ORA by 12/17/2025). To help plan for appropriate coverage, please enter a GMAS "shell" as soon as possible for any submissions due in December and January.
Awards & Other Agreements
Any award documents and related agreements requiring signature prior to Friday, January 2, 2026, must be received for review as soon as practicable. We will do our best to accommodate sponsor requirements. However, we ask that any awards contingent on being finalized by year end are received for review by 9:00 AM on Monday, December 15, 2025.
Export Control/Research Security Reviews, Travel Attestations, Personal Outside Foreign Agreement Reviews
Reviews of outgoing international shipments, travel attestations, restricted party screens, visa deemed export control certification forms, personal outside foreign agreement reviews, requests for access to Visual Compliance, and other export control/research security reviews that must be completed prior to Friday, January 2, 2026 should, to the extent possible, be sent to the International Collaborations Inbox by 9:00 AM on Monday, December 15, 2025.
Travel attestations for researchers traveling with Harvard-owned data and/or materials should be submitted to the International Collaborations Inbox no later than 9:00 AM on Monday, December 15, 2025. If an urgent item arises after this deadline, please let us know the source of the urgency and need-by date when submitting the item for review. We recommend all those traveling internationally to review this information.
