Upcoming HMS ORA Holiday Deadlines

In preparation for the upcoming June & July holiday deadlines, please refer to the below research administration-related deadlines affected by the following holidays: Juneteenth Holiday on Monday, June 19th & the extended Independence Day Holiday on Monday, July 3rd. This notice will be updated as more information becomes available.

  • Juneteenth Holiday, Monday, June 19th: The University and ORA (Office of Research Administration) will be closed Monday June 19th. Please plan accordingly to ensure that any submissions due that day or the days following allow for sufficient time to review in order to be compliant with the ORA Submission Deadline Policy.
  • Independence Day Holiday and NIH July 5th Deadline: HMS has extended the Independence Day holiday so ORA will be closed Monday, July 3rd and Tuesday, July 4th. This will impact submissions for the NIH R01 & U01 renewal/resubmission/revisions, due to NIH on Wednesday, July 5th. Therefore, in compliance with the ORA Submission Deadline Policy, the 5-day deadline for those submissions is Monday, June 26th. The 2-day deadline for finalized Research Plan documents is Friday, June 30th. 
  • Requests for Cost Transfers: Request for Cost Transfersthat must be approved and uploaded for FY2023 must be submitted to HMS Research Finance by Friday, July 7th at the latest, to allow time for review and approval by HMS ORA RF and OSP. Any Cost Transfer requests submitted after 7/7/2023 will be considered for processing in FY2024.
  • Internal Deadline for Proposals Due to Sponsor: Per EVP Meredith Weenick’s June 5th notice that Harvard University will be closed Monday July 3rd, the internal lock and route deadline for compliance with the University Five business day review policy will be Monday, June 26th for proposals due to sponsor Wednesday, July 5th. The GMAS Due to Central counter has been updated to reflect this bonus day. Please email ospproposalassistance@harvard.edu with any questions.

Please communicate the internal deadlines to all affected/potential PIs, as well as to your grants management staff. Also enter any anticipated proposals into GMAS as soon as you become aware of them (in draft form – they can be revised prior to the deadline) and include the sponsor due date so that ORA can plan for appropriate coverage.
